Orthodontic practices

Consults booked from the search, and treatment plans that start.

Pages for the treatments parents and adults search, a phone agent that books the consult when the desk is checking in the after-school wave, and follow-up that turns a presented plan into a start.

Where the schedule slips.

Parents call at 3:15, when the desk is busiest

School lets out and the lobby fills. The parent calling to book a consult or move an adjustment is on hold with everyone else.

Plans are presented and then go quiet

The consult goes well, the fee is discussed, the family says they will think about it. Without follow-up, they think about it at another office.

Adjustment visits get moved and not rebooked

A missed adjustment stretches the treatment by weeks. Nobody has time to chase every one.

The system for this work.

A page for every treatment and age group

Clear aligners, metal and ceramic braces, early treatment for kids, adult orthodontics: each page answers the questions families ask and books the consult.

Consults booked, adjustments moved

Answers when the desk can’t, books the consult into a real opening, reschedules adjustment visits, and texts the parent a confirmation.

Follow-up after the consult

Every presented plan sits on the family’s record with a next step. A text with start-date openings goes out while the plan is still open.

Illustrative example

A week on the system.

  • Mon. A search for clear aligners lands on the aligner page and books a consult for Wednesday.
  • Tue. The after-school rush hits; the phone agent moves four adjustment visits and books two consults.
  • Wed. Families who sat for a consult last month and have not started get a text with openings.
  • Thu. Reminders go out for Friday’s adjustment visits.
  • Fri. Patients finishing treatment get a review request after the debond.

Questions from orthodontic practices

Can the phone agent quote treatment fees?

It states whatever you publish, such as the consult being free, and nothing else. Fees, financing and insurance go to your treatment coordinator.

Can a parent book for more than one child?

Yes. Each child is recorded on the family’s record, and visits are booked back to back when the schedule allows.

Does it fit how we schedule adjustments?

It reschedules into the appointment types and openings you define. Long chair-time visits can stay with your team if you prefer.
