Physical therapy

One phone system and one calendar, across every office.

An illustrative example of a practice with more than one location. The desks share a record, and a call after hours still gets a time that is actually open.

About

A practice with offices in more than one town can end up with a desk, a calendar, and a phone habit in each place. A caller who reaches the wrong office is asked to try another number. A new patient who searched a town the team does not serve never finds the location that can see them.

This page is not a named customer. It is the setup we use when a practice is ready for another location and does not want a second stack of tools to go with it.

The situation

The front desk at the first office knew the schedule. The second office kept a different one. When a call came in after both desks had left, it went to voicemail, and the caller often booked somewhere else the same evening.

The website talked about the practice. It did not say which town each office covered, or which services a person could book without a referral. People arrived from a search and still had to call to find out if they were in the right place.

What the desks needed

Opening another location only works if the phone and the schedule stay shared. A new office with its own inbox recreates the problem the first two already had.

The team also needed the site to stop promising towns they would not drive to. A short list of true pages is more useful than a long list of copies.

How it is set up

Each office keeps its own hours. The customer record does not. A call, a form, or a booking updates the same person, and either desk can see what happened.

When the desk is with a patient or the office is closed, the AI phone agent answers in the practice’s voice and offers a time that is open. Anything outside the approved list goes to a person. Town pages stay up only for places the team will drive to, and each one ends in a way to book.
