What online booking is
Online booking lets a customer choose a time without a phone call. They pick the service, see the open times, pick one, enter their name and phone number and get a confirmation. The time is held on your calendar the moment they finish.
That last part separates booking from a request form. A form that says we will call you to schedule is not booking; it is a lead that still needs two phone calls. A customer at 10 p.m. comparing three clinics books the one that let them finish the job right then.
How it works
The booking page reads from your calendar. You decide which services can be booked, how long each takes, which providers or rooms or trucks they need, and what buffer sits between them. The page shows only the slots that satisfy all of that. When the customer picks one, the calendar blocks it and a confirmation goes out by text or email.
The booking also creates or updates a customer record, so the front desk sees who booked, what they want and where they came from. A reminder goes out before the visit. If the customer reschedules from the link in the text, the calendar and the reminder move together.
Where the booking link lives matters. It belongs on every service page, in the text that follows a form or a missed call, and on your Google Business Profile. A link buried on a contact page is a link most people never find.
When it is worth it
It is worth it for almost any appointment business: dental and orthodontic practices, med spas, physical therapy and chiropractic clinics, veterinary offices, home service companies that book estimate windows, and law firms that book a first consult. The common thread is that customers decide outside business hours and want to finish.
It is less of a fit when every visit needs a person to triage first, such as a complex surgical consult or an emergency where the right answer is come now. Even there, the page can collect the details and offer a call back or a same-day phone slot, so the inquiry is captured.
Common mistakes
Showing times that are not really open, so the desk has to call and move the customer. Letting new patients book a thirty-minute slot for a visit that takes ninety. Hiding the booking link in a menu. Making the customer create an account before they can see a time.
The quieter mistake is treating booking as separate from the phone. If the person who books online gets a reminder and the person who booked by phone does not, the no-show pattern tells on you. Both bookings should live on the same calendar and get the same reminder sequence.
How Ottimo handles it
Ottimo’s booking holds real openings on the calendar you connect. The same openings are offered by the website, by the booking link in a text, and by the AI phone agent when it answers a call the desk cannot take. A time booked anywhere is held everywhere.
Every booking lands on the customer record with its source, and the reminder and no-show follow-up are attached to it. Tell us the practice management or scheduling system you run, and we will confirm how the handoff works before you commit.
